You should not have to log in to many accounts and judge what to pass on yourself. OpenMailman does the heavy lifting and leaves you in control.

  • One unified overview

    See everything that arrived across accounts and shared mailboxes, and what still needs a reply. The same email in several accounts shows as one conversation.

    Category, language, a short summary and a suggestion for who should take the email. You choose to assign, keep or dismiss.

  • Fixed rules

    For example invoices to accounting or newsletters to low priority. Rules run first and can be tested against your latest emails before you switch them on.

  1. A shared inbox for the whole team

    Emails from all accounts and shared mailboxes are collected in one place. You can see who has taken a conversation, and you are told if a colleague is already writing a reply.

  2. AI triage: the right answer or the right person

    In the chat, AI can answer from approved knowledge. AI assesses emails and passes them on to the colleague whose skills fit best. Automatic email replies exist only if an administrator switches them on for a shared mailbox.

  3. OMC: OpenMailChat (chat on your website)

    A chat bubble can be embedded on your own site. AI can answer from your approved knowledge, and the answer is always marked as an AI answer. Otherwise the conversation is passed on to an employee and lands in the same inbox as emails.

    Create an OpenTIME task from a conversation with summary, sender and internal notes, without leaving the inbox.

Connect your existing mail accounts and keep them exactly as they are.

  1. Connect your accounts

    Choose Microsoft 365, Google or IMAP/SMTP. Decide whether the account is private or a shared mailbox, and invite colleagues if needed.

  2. Get an overview and suggestions

    New emails are gathered in one place, sorted by your rules and given an AI suggestion for who should handle them.

  3. Reply and follow up

    Reply from the right account, assign to a colleague, write internal notes or create an OpenTIME task without switching windows.

Private means private

OpenMailman is built so you can bring all your accounts together without compromising confidentiality.

  • Private accounts stay private

    The content of private accounts cannot be seen by other users or administrators. This is enforced in the access rules and covered by automated tests.

  • AI only sees what you may see

    AI works within your own access rights. For recipient suggestions, only addresses and timestamps from other accounts are used, never their content.

  • Email content is data, not orders

    The content of an email is always treated as data and never as instructions. AI only acts within the limits your administrator switches on: answers from approved knowledge, and suggestions or assignment to the colleague who fits best. All AI decisions are logged, and AI can never see private mailboxes without the owner's consent.

  • AI never blocks you

    If AI is unavailable you can still read, reply and assign as usual.

  • Encrypted credentials

    Access tokens and passwords for your mail accounts are stored encrypted.

  • Everything is logged

    Actions are recorded in an audit log, so it is clear who did what.

Frequently asked questions

Which mail accounts can I connect?

Microsoft 365, Gmail/Google Workspace and any provider with IMAP/SMTP. You can connect both your own accounts and shared mailboxes.

Can others see my private emails?

No. The content of private accounts can only be seen by you, not by colleagues and not by administrators.

Does AI reply to emails for me?

Automatic AI replies to email are off by default and can only be switched on per shared mailbox by an administrator. Private mailboxes never get automatic replies. In the chat, AI can answer from your approved knowledge base, and the answer is always marked as an AI answer with the option to reach a person.

Which account is my reply sent from?

From the account the email arrived on. If it exists in several of your accounts, you choose the sending account.

What happens if AI is down?

Inquiries are distributed automatically in the team, even if AI is not available.

How do I get access?

Click “Get started”. You will land on the login page, where you can log in or request access.

Is OpenMailman available in Danish and English?

Yes, both this site and the app itself come in Danish and English. The app works on mobile and follows your light or dark mode automatically.
